Responsibilities

1. Notify Us Of A Problem

If you discover a problem upon check-in, please notify us immediately. This will allow us to respond to the problem as quickly as possible and will also ensure that you or your family is not held responsible. If you wait more than 24 hours to inform us of a problem, we will assume that the problem or damaged item was a result of your stay.

2. Observe The Occupancy Limits

We reserve the right to refuse occupancy if, in the agent's opinion, occupancy is detrimental to the property. We do not rent to groups, house parties, etc., only families, couples, and responsible adults 24 years and older. The occupancy limits in each home description are firm and are closely monitored. Occupancy Limits are based on the number of beds in the home. While all beds are listed to allow flexibility in sleeping arrangements, no overcrowding is allowed. No campers, tents, or motor homes may be used in conjunction with a rental unit to increase capacity. Guests who exceed the occupancy limits will face immediate termination of the rental, with no refund of rental monies paid. Please include all members of your family in your planning and rent a home of sufficient size.

3. Protect The Home From Damage / Missing Items

Please note that you are personally responsible for any damages or missing property that occurs during your stay. Leave furniture and other contents in their original location and condition. The "Guest of Record" will be required to pay for any and all damages which occur during his/her occupancy.

4. Locked Closets

Many of our homes have an owner's locked closet or storage room for their personal items. Tampering with locked closets is prohibited and "Guest of Record" will be financially responsible for any damage or missing items. Please respect these areas as they are not intended for guest use.

Departure Cleaning - Included In All Weekly Rental Rates

A family leaves their vacation rental at the end of their trip

You are, however, still required to complete the following before leaving the home:

  • Return the air conditioning to 75 degrees or the heat to 55 degrees.
  • Remove all foods from the cabinets and refrigerator.
  • All trash must be placed in the receptacles and placed at the curb.
  • Replace bed coverings and pillows on all beds.
  • Wash and put away all dishes.
  • Turn off all inside and outside lights, and ceiling fans.
  • Lock all windows and doors.

Reservation Cancellation

Cancellation of a confirmed reservation is required in writing by mail, fax or e-mail. When the property is re-rented for the full period of the canceled reservation and confirmed with a paid deposit, a refund will be issued less a applicable fees and taxes. All fees and insurance premiums are non-refundable.

If the property is re-rented for the full-time period, a refund will be provided less applicable fees. A partial refund will be issued if a portion of the time period is re-rented and will be prorated. If the home is not re-rented, then no refund will be provided. 

Coastal Vacation Resorts will not make any refunds due to a mandatory evacuation of the island if the guest has declined our offer of Travel Insurance Protection coverage at the time the reservation is made.

We will make every effort to ensure that your reservation is undisturbed. However, occasionally a home will become unavailable after a reservation has been confirmed. The sale of a home, the full-time occupancy by the owner, or a change in the owner's schedule may result in a change in the home's availability.

If we are unable to provide the home originally reserved, we will contact you as soon as possible and help you find an alternative home. If you do not find any of the alternatives acceptable to you, we will refund 100% of your rental monies.

Check-In Time is 3:00 - 5:00 PM

Our office is located at 8118 E. Oak Island Drive. Please do not go to the home prior to check-in as the cleaning crew will not enter the home if a car is present, and they will be delayed in their efforts.  If you are running late, please call 888-703-5469 or 910-278-5405 and we will have keys available for you "after hours." 

Check-Out Time Is 10:00 AM

Sorry No Exceptions - All check-outs must return rental keys to Coastal Vacation Resorts office at 8118 East Oak Island Dr. If you are leaving before office hours the keys can be left in our drop box. We understand that leaving the island during the Prime Season may take longer than expected. Please call the office if you are en route and will be here after 10 am so we can notify the cleaning staff that the house is vacant.

Emergencies

If you have an emergency during your stay, please call the after-hours number included on your Reservation Confirmation. If you need assistance after office hours and it is not a true emergency, please leave a message for our team at 910-278-5405. The messages are checked first thing each morning and we will respond quickly. Emergency fax service is available to our guests at a rate of $1/page.

cloths, hand towels, bath mats, etc.

Oak Island's Little Extras

Restaurants, Groceries, & Shopping on the Island

Once you arrive on the island and check-in to your vacation home you will find all of the conveniences nearby and on the island. Food Lion and Publix grocery stores, Thomas Drugs/Pharmacy, Library, Gas Stations, Banks, ABC, Restaurants, Shopping, Golf, Beach Gear, Boat & Kayak Access, Nightlife, and more. Other large stores such as CVS, Walgreens, Lowes Home Improvement, Big Lots, and Super WalMart are located just across the bridge in neighboring Southport, NC. Vacation supplies, linens, and equipment can also be rented at reasonable rates. Beach Ambassador Program at Oak Island 

While vacationing at beautiful Oak Island you are likely to see friendly beach ambassadors, who are trained to educate and inform visitors about Town ordinances related to beach areas and sea turtle life. Ambassadors are identified by reflective safety vests and travel the beach on foot. They concentrate on advising visitors on positive beach activities and beach rules. They take images and report concerns to the Town of Oak Island and in extreme cases to the police. Oak Island takes the beach ordinances seriously. 

  • Remove all beach gear by 8:30pm
  • Fill all holes
  • Keep people, pets and gear out of, and off of, the dunes
  • No glass on the beach or in beach accesses
  • Keep dogs on a leash 24/7 and pick up waste (dogs may run freely on the beach from Oct 15 - March 15)
  • No bonfires May 1 to November 15
